How to Request a Quote from a Supplier in thesheet

Manage the supplier quoting phase from thesheet

Use thesheet to communicate and request quotes from your supplier contacts. Once a product is approved, you can move it to the quoting phase and request a detailed quote from your supplier.  Track each quote's progress and estimated delivery times directly from the quotes section.

How to request a quote from your supplier contacts. 

Once a product is approved by you or the client, a new option will appear: move to quote. This will move the product into the quoting view.

How to move a product to quote

There are two ways to move a product into the quoting phase: if you are unable to follow any of these steps head to Troubleshooting. 

1. Move to quote button: (best for a single product)

  • After a product is approved, click the move to quote button under the approved status dropdown.
  • This will create a new card in your quotes view with product and supplier details.

2. Main quote button: (best for multiple products for one quote)

  • Click the Quote button on the top right of your sheet view to activate quote selection.
  • Select the products in the sheet view that are approved and ready for quoting.
  • Click the Quote button again to move the selected products to the quote phase. The number next to the quote indicates how many products will be moved into the quoting phase.
  • Navigate to the quotes section to view all the products categorised by supplier and quote request.

 

How to request a quote within thesheet. 

1. Verify quote request information:

  • Ensure all relevant details, including the contact email and shipping address, are in the quote request card.

Note: if a contact was added to the supplier this will automatically be added to the quote request. 

  • The client’s address is automatically added, but you can adjust it if necessary.


 

2. Request a quote:

  • After verifying the information, click the request quote button on the right.
  • A quoting details menu will open, automatically populated with the supplier’s information and product details.
  • Add any additional information needed in the message section and hit send.

Your supplier will receive an email with a link to the quote request in thesheet supplier view, where they can access your specific quote and upload their response directly into thesheet. They don’t need a thesheet account to access this view.

Once you receive a quote from your supplier, you’ll be notified of updates, and any files they upload will be attached to your quote request.

View them directly from you quote request card in thesheet. 

You can also manually upload quotes and documents to keep everything in one place.

If you’re happy with the quote, change its status to approved, which unlocks the ordering feature.


If you already have pre-confirmed trade discounts or pricing with a supplier, you can skip the quoting phase and move straight to the ordering phase. 

Troubleshooting: ”move to quote” is greyed out. 

If the Move to Quote button is greyed out, you’ll need to fill in the supplier information for the product.

Note a supplier is only necessary if you would like to send a request for quote email and track the estimated delivery through thesheet 

  • Select a supplier contact from your studio’s database or type in a new supplier and select Add.
  • After adding a supplier, the move to quote button will become available.

Tip: supplier contacts

Take the time to update your supplier contacts. Add emails, direct contacts or regional agents to make quoting phase easier.
